This will show you how to create routine maintenance schedules for serialized inventory items and place serialized inventory items into maintenance.

Maintenance for Serialized Inventory
1. To add a maintenance schedule to inventory, go to Inventory, in the top menu bar, and select inventory.
2. Search for the item and select the edit icon next to the item name.
3. Go to the Scheduled Maintenance tab and select the New Scheduled Maintenance Button.
4. Fill out the fields that are highlighted with a red asterisk.
Name - The name of the schedule (e.g., Oil Change).
Schedule Type - Will determine when the system will mark the item as due for maintenance.
- Time - The schedule will be based on real calendar time. For example, every 1 month, 3 months, 2 weeks, etc.
- Meter type - The schedule will be based on the reading of the meter and the item usage.
- Time on Rent - The schedule will be based on the amount of time spent out on rent. For example, every 8 hours, 1 week, 1 month, etc..
- Number of Rentals - The schedule will be based on the number of times the item goes out on rent. For example, 1, 2, etc.
Maintenance Type - Will allow you to define the type of maintenance.
- Maintenance - This will not take the item out of availability to complete.
- Repair - This will take the item out of availability to complete.
- Service Call - This allows you to do maintenance while the item is at the job site.
Billing Type - This determines how the maintenance will be billed.
Schedule Interval - This will be based on the Schedule Type. This will determine the frequency of the maintenance.
5. Press Save when finished.
Once saved, all scheduled maintenance will appear in the list of maintenance to be completed.
Putting a Specific Item into Maintenance
Putting an inventory item into maintenance will take it out of your inventory availability to prevent it from being rented while maintenance is being completed on it. If the maintenance is on-site maintenance, it will be left in availability.
1. Go to Inventory and select Inventory.
2. Search for the item in question and select the edit icon next to the item name.
3. Go to the Stock tab.
4. Select the View Unavailability Log icon next to the edit item (pencil) icon.
5. Select the Add Maintenance button.
6. Fill out the Create Maintenance Log.
7. Press Save on the bottom right-hand side of the screen when finished.
To see a report of inventory that has maintenance scheduled or is in maintenance, go to the Reports tab. Under Inventory Reports, there is an Inventory Maintenance List that allows you to search your inventory by name and show the maintenance performed. Scheduled Maintenance shows all items that have scheduled maintenance along with the last time the scheduled maintenance was performed for the serialized items of that item. Scheduled Maintenance Due shows items that are due for scheduled maintenance.
