Who can Configure User Alerts
There are three levels of Configuration of User Alerts within Syrinx, these are set within the Configuration Settings and against each Logon User:
- Can Configure Own Alerts Only: A user with this setting can select their own User Alerts to be displayed
- No Configuration Permitted: A user with this setting will be able to view the User Alerts set up for them but won't be able to select/unselect the options
- Can Configure Any Users Alerts: A user with this setting would typically be an Admin type user that is going to define the User Alerts that users with No Configuration are going to view.
NOTE: This would be your company policy that controls how these are configured.
Configuring Own User Alerts
If you have the setting to configure your own alerts, to open up the Alerts for the 1st time, on the Left-Hand Menu go to User > User Alerts
This will open with no alerts populated.
If you click Options cog at the top right of the window , this will open the selection grid
- Enable an Alert: Simply click the Enabled tick box for that Alert
- Disable an Alert: Simply click an Enabled option to clear the tick box
- Search for an Alert: At the top right is a Search text field, useful if you know the alert is there but can't see it straight away
- Enable All: This will enable all unselected Alerts, this is also useful if you want to enable the majority and then you can disable the unwanted ones.
- Run alerts on startup: With this option ticked, whenever you log in it is going to open up the User Alerts screen
- Re-run alerts after x mins: This can be set so that the User Alerts screen will re-run every x number of minutes, for example you may want the User Alerts to come up when logging in and then every 60 minutes.
- NOTE: there is a lower threshold on 10 minutes on this and an upper threshold of 5,000 minutes
NOTE: Don't forget to Save the form when making any selections or amendments
Configuring Alerts Due or to Highlight
There are many User Alerts that set to alert if it is due within x number of days, or older than x number of days, some may be driven by number of hours and some alerts you may want to be highlighted when they reach a certain number.
The frequency of these alerts and level of importance can be different by company and even by user within that company, so these are set at a user level within User Alerts, for example a workshop engineer may want to see all Open Service/Repair Jobs older than 1 day, as they want to see the active jobs but a workshop manager might want to see all Open Service/Repair Jobs older than 7 days as they want to see the jobs that aren't processed quickly and find out the why.
If you click the Alert that you want to configure then when it is highlighted the editable fields are visible, I have used the alert for the example above:
Configuring Alerts for other Users
If your Logon User is set to be able to configure the User Alerts for other users, then you simply select the User from the dropdown that you wish to configure and repeat the steps above:
NOTE: If you are configuring multiple users then me sure to Save between each User selection, there is a warning about this.
There are Import Data options available to import the User Alerts for users from csv files, if required.
There is a separate article to cover actually viewing the User Alerts once they are configured and using the system.
