Syrinx v4 / 365 - Key Differences

Learn how to use core Syrinx 365 features that differ from V4. This guide explains widgets, global search, customizable search screens, page views, and pricing agreements so you can find information faster and configure the system to match your workflows.

Use Widgets to View and Export Data

  1. From the dashboard, click the widget settings icon on any widget.

        
  2. View the underlying data records supporting the widget’s total.
  3. To export:
    • Select Excel or PDF, then click Save.

         
    • Open the downloaded file to review detailed records.
  4. Widgets are limited and primarily cosmetic. To request additional widgets, submit an idea through U Innovate.
          

    Limitations:

    • No drill-down navigation is available; only export.
           

Search Faster with Global Search

  1. Use the global search bar at the top of the screen.

       
  2. Enter a specific contract or customer ID (e.g., RHC/22023).
  3. Click the desired result to open directly in Syrinx.
  4. To see all matches, click Show all results for [search term] to open the related search screen with filters pre-applied.
  5. Global search remembers your last five accessed records for quick navigation. 
  6. Each entity prioritizes two key fields (e.g., Contract Number + Customer Name, Advice Note Number + Customer Name). 

Note: Not all entities are supported; legacy V4-only entities require their dedicated search screens.
    

Customize Search Screens

  1. Open a 365 search screen (e.g., Contracts).

       
  2. Use the summary panel to review key details or expand to view more items.
     
       
    View mobile jobs directly in the panel (replacing V4’s color-coded line indicators). 

       
  3. Reorder or sort columns by clicking the column headers.

        
  4. To add or remove columns:
    • Click Select Columns under Actions.
    • Choose which fields to display, then click Apply.
    • More columns = slower queries; fewer columns = faster queries.

         
  5. To freeze a column, drag it to the far-left blank area. Drag it back to unfreeze.

       
  6. Export visible results to CSV when needed.
        

Key difference from V4: 365 search screens are fully customizable, while V4 screens were fixed and less flexible.
    

Save and Share Page Views

  1. Apply filters (e.g., Status = Cancelled).
  2. Click Save as Page View, enter a name, then click Save.



       
  3. To set as default, click the tick icon next to the page view name.

  4. To share:
    • Save the page view as Shared.
    • Assign it to specific users or roles, and optionally set it as their default.



           
  5. Updating a page view also saves column layout, sort order, and filters.

           
  6. As an admin, you can:
    • Delete unused page views.

         
    • Restrict other users from creating or sharing page views.

    Tip: Page views can reduce menu clutter by replacing the need for separate options like “Unconfirmed Contracts.”

        

Query or Amend Multiple Contracts

  1. Apply filters in the Contract Search grid.
  2. Click Actions > Open All.
    • Opens up to 100 records in query mode.

         
  3. To amend, open contracts individually with amend privileges.


  4. Adjust the page size (up to 100) to control how many records open at once. 

        
  5. Export results to CSV to replicate V4’s “Print List."
     
           

Use Day at a Glance

  1. Open the Day at a Glance tab from the main menu.





        
  2. Review contracts, quotes, or other entities created today (filters are pre-set to the current day).
  3. Adjust filters to expand the date range.
  4. Use page views carried over from related search screens. 
  5. Access details directly from the summary panel. 

          
Future roadmap: More entity types will be added to Day at a Glance. 
          

Create and Manage Pricing Agreements

  1. Open CRM in the left menu > Pricing Agreements.

        
  2. Click Create Pricing Agreement.

        
  3. Set a start date and optional end date.

        
  4. Add customers:
    • Click Add Customers, search, select, and add.



         
    • Assign agreements to all sites or select specific sites.

          
  5. Configure pricing:
    • Use the dropdown to add hire rates, sales charges, transport, or operator charges.
    • Save changes to apply.

          
  6. Agreements can be drafted, activated later, or set inactive temporarily.
  7. Multiple agreements per customer are supported.
    • If overlapping agreements exist, the system applies the shortest active agreement first.
    • No warning currently appears for overlaps—configure carefully.
  8. Click Active/Inactive status as needed.



        

Differences from V4:

  • Multiple agreements per customer allowed.
  • End dates supported.
  • Drafts supported.
  • Agreements always shared (no private agreements).
  • Site-specific pricing available.
        

Adjust User Preferences and Performance Settings

  1. Go to Config > User Preferences.

      
  2. Options include:
    • Dark/Light Mode
    • Date formatting (dd/mm/yyyy or mm/dd/yyyy)
    • Default search result size (capped at 10,000 records)
    • Show total record count (may slow performance)
    • Show real data on open (improves load time if off)
    • Return sorted search data (turn off for faster performance with large record sets)

              

Check Versions and Role Privileges

To check versions:

  1. Click Help > About.



        
  2. Review database, app, client, and API versions.
    - The client version appears only after opening a legacy screen.

       

Set favorites and depots:

  1. Add frequently used menu items to Favorites with one click.
  2. Switch between depots quickly using the multi-depot selector.

To manage privileges:

  1. Go to Users in the left menu > Set Role Privileges.

       
  2. Expand the tree view to assign Query or Amend rights.

       
  3. Remember: Amend requires Query, but Query does not require Amend.
    - Privileges can extend five or six levels deep; expand/collapse groups as needed. 
           

More Information / FAQ

How do I export widget data if Excel is unavailable?
You can always export to PDF instead of Excel. Both formats provide the underlying records.
   

Why can’t I see some entities in Global Search?
Only entities with 365 search screens are supported. V4-only entities must be accessed via their legacy screens.
   

Can I make a shared page view default for all users?
Yes. Assign it to a role in Shared Page View settings and mark it as default.
   

Why do only 100 contracts open in Query mode with “Open All”?
The system caps at 100 records per batch to avoid performance issues. Narrow filters before using Open All.
   

How do overlapping pricing agreements work?
The system applies the shortest active agreement first. Avoid accidental overlaps to ensure correct pricing.
