-
Create the vehicle as a Hire Item.
-
Open the Misc tab.
-
Tick Include in Driver Schedule.
-
Save your changes.
To set the default vehicle against a member of staff:
- Go to Staff > Staff Members.
- Search for the person.
- On the main screen, choose the Vehicle.
- Save your changes.
Allocate Jobs and Manage Trips
The bottom section is unallocated jobs.
To see more information:
-
Click on an unallocated job in the bottom section.
-
Review the job details in the Properties page on the right-hand side.
If you need to change anything on the contract, click Open in Syrinx. This opens the job in the main system so you can make changes.
To allocate jobs to drivers/vehicles:
-
Drag the job from the unallocated jobs list.
-
Drop it onto the relevant vehicle in the top section.
| ℹ️ You can overlap jobs if their delivery times are the same. You can also extend the jobs. For example, if a job is going to take 4 hours, you can extend it in the scheduler to see what capacity you have that day. |
Once you have dragged jobs up, you will notice a black line. This is called a trip.
-
Click the trip to see more information.
-
Assign a driver (drivers can be preset up with default vehicles).
-
Set the load and unload jobs (if enabled).
-
Review the total weight of the delivery and the safe working weights, if set against the vehicle.
| ℹ️ If you need to change anything on the contract, then you can click Open in Syrinx. This will open the job in the main system for you to make any changes. |
Move and Edit Jobs
You can move jobs to different days.
-
Click the job in the bottom section.
-
In the Properties page, click the arrow next to the date.
-
Change the date.
You can create Misc Jobs.
These can be customer, supplier, or other visits. It may be that you want to send the driver to a customer to collect something or the vehicle may be off the road for maintenance.
Use Day, Week, and Month Views
The schedule view currently provides three different views to the user: Day, Week, and Month. Changing the view is accessed via the navigation bar.
Day View
- Day view is the only view where you can edit information relating to the jobs and trips.
- In Day view, you can drag and resize jobs.
- Trip information is shown in Day view.
Week View
- Week view shows jobs slightly differently and does not show the trips.
- In Week view, you cannot drag or resize any jobs.
- The number of days displayed in Week view can be changed via a system option to exclude or include weekends, or to just include Saturday.
Month View
- Month view shows jobs in a different manner and does not show trips.
- In Month view, you cannot drag or resize any jobs.
- Each day will only show a max of one job. Use the arrow to expand and show all jobs for that day.
Search and Filter Jobs
You can now search for jobs in the time period they are viewing on the schedule and jobs list by using the search button next to the Add section at the top. The search screen shows all jobs within the time period you are scheduling for, as well as the time period used for the job list (which can now be a set date range).
- Click the Search button next to the Add section at the top.
In this example, it shows scheduled jobs for the 3rd August and unallocated jobs between 1st June – 3rd August.
Highlighting a job and pressing OK will instantly highlight that job on the schedule or the jobs list. The list offers fully integrated filtering and search functionality. To filter on a particular column, press the filter button. In this example, the filter is applied to the Doc Type column and allows selecting individual Doc Types or specifying rules for which rows to show.
Or if a more general search is required, use the Search Term box at the top to type in what you want to search for.
-
If the search term contains a space, surround the search terms in double quotations. For example, to find all jobs for the customer John Abbott Ltd, type "John Abbott Ltd".
-
If you omitted the double quotations, the search would return all jobs that contained the words John or Abbott or Ltd.

Use Additional Scheduler Tools
Add a New Trip
You can also add a new trip by dragging a New Trip down. When you add a new trip this will create a new vehicle check that will need to be completed on the app. This could be used if the driver is changing mid shift (vehicle checks need to be created and enabled in the configuration).
Bring Forward
The Bring Forward button will bring forward any unallocated jobs to the present day. There is a number of days that this will look back. This is set in the configuration.
Map
The Map button in the unallocated section will show on a map where the jobs are. You will be limited to the number of points that is displayed. Google Maps allows around 23 different waypoints.
Column Controls
All the columns can be resized, filtered, and moved around.
View-Only Access
You can allow users to view the driver scheduler but not amend it.
More Information / FAQ
Why can’t I edit jobs in Week or Month view?
Only Day view allows editing. Week and Month views are display-only and do not show trips.
Why isn’t my job appearing in the scheduler?
Make sure Requires Delivery/Collection is ticked on the contract or document.
Why do I need quotation marks in search?
Without quotation marks, the system searches each word separately. Quotation marks ensure the exact phrase is searched.
What happens when I add a new trip?
A new vehicle check is created in the Driver App and must be completed in the app. Vehicle checks must be created and enabled in the configuration.
Can I prevent users from editing the schedule?
Yes. You can allow users to view the driver scheduler but not amend it.
