Operator Charge Templates
 

Overview

When entering an operated hire, alongside the hourly rate for the main item & operator, you can also add additional hourly rates for time/half, double time and standing time.  

It is possible to flag one of these rates as not in use, so it will no longer appear on the contract entry screen.

You can also add new custom templates for different types of operated charging.  For example, it is common for operated hires to railway maintenance companies to be charged with additional rates for ‘Week/Nights’ and ‘Weekends’ (as opposed to Time/Half and Double Time).

Configuration

To configure the operated charging, go to the ‘Operated Charge Templates’ screen on the Hire Setup menu in Syrinx Configuration:

A standard charge template is provided for the existing overtime/standing time charging rules. Pressing the ‘Show Detail’ button shows the names of the associated rates:

 

The Amend Entry button shows the detail for a particular charge template entry:

 

The standard overtime charging template is marked as ‘Live’ automatically.  Once a template has been made live, the only details that can be amended are the ‘In Use?’ flag, plus the default overtime hours at timesheet entry, and the default rate.  If appropriate, the overtime supplements can be defaulted as a percentage of the main item rate.

Adding a New Operated Charge Template

To add a new charge template, press the Add New button on the ‘Operated Charge Templates’ screen:

You must then set the properties on each of the (up to four) template rates you want to use:

For ‘Type of Charge’, you can enter one of the following:

Working

This is the default, and indicates that the charge relates to when the operator/equipment is being used on site.

Non-Working

This indicates that the charge relates to when the operator/equipment is on site, but is not being used, i.e. Standing Time.

Additional

This indicates that the charge is not related to the working/non-working time – e.g. travel time to get to the site.

The ‘Is Supplement?’ box should be ticked if the rate entered on the contract is a supplement to be added to the main rate (as opposed to being used in place of the main rate).  In the standard charging template, the two overtime rates are supplements, and the standing time rate is not a supplement.  If the ‘Is Supplement’ box is ticked, then it is recommended that the Contract Description includes the word ‘Supplement’ to make the meaning of the rate clear to the person entering charges onto the contracts.

Making a Charge Template Live

Once the configuration of a charge template is complete, you can make it live.  You cannot use a charge template until it has been made live.

Note: A charge template cannot be re-configured once it has been made live.  Don’t make it live until you have checked the details carefully.  If you are not completely sure that the configuration is correct, then first contact HCS support for guidance.

To make it live, press the ‘Make Live’ button on the ‘Operated Charge Templates’ screen.

Contract Entry

If you have more than one operated charging template marked as ‘Current’, then when entering a new contract you must pick the type of charging to be used:

The additional rates added to the contract will then correspond to the selected charge type:

Time Sheet Entry

When timesheets are entered, the headings will also reflect the contract’s charging type:

Invoicing

When the invoice is created, the suffixes shown on invoice are those as specified in the template:
