Item Availability

 

This article will show you how to use and correctly view Item Availability.

Accessing Item Availability

Item Availability can be accessed by hovering over Inventory in the top menu bar, and selecting Inventory.

 

Once the Inventory has been opened, search for and locate the desired item, then press the eye symbol next to its name. The item's current availability is shown in the column with the header "Available." 
 

 

After selecting the eye symbol, the Item Availability calendar will appear.

In the calendar, each day has a set of three numbers that indicate the availability of an item throughout the day. The color code indicates the time of day and minimum availability.

  • Orange - Displays the item availability at the start of the day. 
  • Blue - Displays the item availability at the end of the day. 
  • Light Blue - Displays the item availability if all scheduled returns are not returned.
  • You can also choose to show availability on days you are closed per user. 

 

 

To access a more detailed view of Item Availability, select More Details.  

 

This menu contains more details like the item's Rate, category availability, availability broken down by  Month, Week, or Hourly, and item specifications.

 

Note: Overdue items will be subtracted from availability until they are returned or due date updated for future due date, based on the following conditions.
 

  • Overdue but same day - Item availability will show out until the end of that business day only.
  • Overdue due yesterday - Item will be subtracted from availability for the next 7 days.
  • Overdue due 2 days prior or before - Item will be subtracted from all future availability.


 

Item Availability's More Details window

 

Rates
 

This section displays the item's pricing rates and other pricing information, including the Minimum Rental Period, Prepayment, Replacement Cost, Maintenance Fee, and Damage Protection Override. Note: Damage Waiver Override will not populate any information if a default percentage is set in Configuration > Company Configuration.  
 

 

 

Availability

 

The Availability section can display item availability by month, week, or hour. The Show Category Availability button displays the availability of other items in the same category.  The Show Availability Chart button allows the user to select a date range to view item availability.
 



 

Multi-Store Availability

 

If you are a multistore, you will be able to see your availability at other stores by clicking Show Multistore Availability.


 

 

Variant Inventory


If your item has variant properties, then you can choose the variant that you want to view to see how much is in stock.

Specifications

 

The specifications of the item can be viewed if Show Details is selected.  
 

 

 

Item Availability Delays

Item Availability Delays can be accessed via the item record from the Inventory Menu. 

 

Then, click on the ‘Unavailable Periods’ tab.

 

Once you're in ‘Unavailable Periods’ check the current Unavailability Periods to see if any are still active or expired.' To edit an Unavailability Period, click on the Edit icon (pencil icon) next to the desired period to edit.

 

Once the window opens, fill in the start and end time, type, and message.

 

Once you have the record up to Edit, you can change the messaging or delete the record so it no longer affects Availability or Current Stock.

 

Deleting Unavailability Periods

You can also mass Delete records by checking the boxes next to the Unavailability Periods and then clicking on ‘Delete Unavailable Periods.’Please note that once deleted records cannot be reactivated, you must create a new Unavailable Period to replace any missing records.
