Subrentals

 

Do you have inventory items that are frequently in short supply and need to be subrented (also known as re-rented) from another company or vendor? This guide walks you through the steps to keep track of these subrentals within your system.

 

Note:
If the item is serialized, using the subrent feature adds an unserialized copy of the item to the transaction.


Steps to Subrent an Overbooked Item

  1. Identify the Overbooked Item

    • When a transaction exceeds your available inventory, an overbooked warning will appear next to the item.

  2. Ensure the Transaction is a Reservation or Higher

    • Subrenting is only available once the quote is converted to a reservation or a more advanced status.
        

  3. Access the Subrent Option

    • Click the Overbooked warning symbol next to the item.

    • Then click the Subrent button.
        

  4. Enter Subrent Details

    • Once you click Subrent, additional fields will appear.

    • Fill in the following:

      • Vendor Information (the company you're subrenting from)

      • Vendor Item Name (what they call the item)

      • Subrental Dates (start and due dates)

      • The quantity needed will be auto-filled based on the shortfall.
           

  5. Set Subrental Dates Strategically

    • Set the Subrental Start Date 1–2 days before the rental start date.

    • Set the Subrental Due Date 1–2 days after the rental due date.

    • This buffer ensures the item arrives on time and gives you time to return it post-rental.
         

  6. Save the Subrental

    • Click Save.

    • The subrented item now appears on the transaction overview with all details.

  7. Customer Visibility

    • Customers will not see any subrental information on the contract when it is printed or emailed.
