Navigating the Pricing Agreement
The Pricing Agreement has a header section, tabs and the working area.
The header section contains:
Agreement Name - This is unique name for this agreement within the database
Currency - If multi currency is on, this displays the currency the agreement is using
Start Date - This is the date the agreement will start being applied, if this is set to be a future date that implies the agreement isn't Live
End Date - This is optional, leaving it blank will mean the agreement is open ended, populating a date will determine when the agreement stops being live
Active - This tickbox determines whether the agreement is active or not, you can have a Live agreement with the dates but maybe you want to make it inactive for a period whilst you update something
Live/Not Live - This is calculated based upon dates
The Tabs contain:
Rates - This houses the different types of rates available on the agreement on a dropdown selector - Hire/Sales/Transport/Operated
Customers - This is the list of Customers linked to this agreement
Notes - These are Internal Notes and Customer Notes applicable to this agreement
Audit Log - You can view certain amendments to the pricing agreement on the log tab
Note: There is a Save and Save & Close button at the bottom of each of the pages where you enter data, be sure to at least any changes as you go along if entering lots of data
Rates Tab
The Rates tab houses a dropdown selector so you can choose what type of rates you are looking at/editing:
Note - Some options may not be visible depending on what it turned on in the database
General:
This contains the Default Discounts and various rules
Note - Some of the options on the right might not be visible depending on how the database is setup and user permissions:
Hire Rates:
There is a search function to free type a search value or you can add filters to the grid allowing to search many hire categories for example
You can add a new hire rate to the agreement with the button, select the hire category and rate name and add to the agreement.
If you then click the line level selector and you have to choice to Open or Remove the line, , open will allow you to enter the rates accordingly and Remove will delete that line from the agreement.
Hire Categories and Hire Groups
These work as the Hire Rates page does, except there are only Percentage discount options of these.
Sales Charges (Stock)
This allows you to view, search, filter, sort and Add as per the hire items pages.
One difference is when you open the Sales Charge to Edit prices, you have two tabs available, one for the selling price and one for volume discount:
Sales Charges (Categories)
Similar to Hire Categories and all the functions but includes the Volume Discount mentioned on Sales Items
Transport
Allows you set Transport charges for the agreement, the functions of the search screen are as previously described.
Setting the transport rates by Depot / Area / Vehicle will depend on how you have your system setup for these charges
Operated
If you are using Operated hires then this tab will be available.
This will display the Charging Templates set up in the database, it will also display the different Overtime rates per template and it will be visible if they are not in use, previously you could only view this detail by clicking into every template.
Customers Tab
Here you can view all of the Customers on this agreement:
In addition to their Name, there is the Account No (if an account customer) and Site
Site will be listed as All Sites or x Site(s)
All Sites means that every site for this customer will work from this pricing agreement and wouldn't involve any work for new sites added in the future
X Site(s) means that or specific site(s) will be on this pricing agreement, in the example above the top customer has 1 Site and there is an arrow next to the Name, clicking this will expand the Master Detail view to view the site(s)
When you click the Line Level selector of a customer, you can:
Add Sites: If a customer is marked as All Sites or already has some sites selected then you can add to the list
Assign to All Sites: If the customer was marked as some sites then you can quickly convert to All Sites without the need to remove them all first.
Remove: This will remove the customer and whatever sites from this agreement
Notes Tab
This contains two notes fields, one for Internal Notes and one for Customer Notes, the latter may be printed on the pricing agreement document
Audit Log
This will contain data of amendments to the agreement in various places, there is a basic search function for larger audit logs
Note
As customers can be on multiple pricing agreements to allow for allocation of sites on different agreements and you may have start and end dates and dictate when agreements are being used, you should be mindful of checking other agreements that they may be on when adding to agreements, to make sure correct pricing is being used.
