Introduction
You can now set the system up so that it alerts a user when entering a new contract or advice note if the customer’s current balance plus the current liability (i.e. value of confirmed but un-invoiced advice notes and the estimated value of open contracts charged up to the month end) is near or over their credit limit.
Note: this new check is separate from (and happens after) the standard checking of a customer’s balance versus their credit limit and the checking of the On Hold flag.
Configuration
To enable the feature, set the options on the ‘Customers (2)’ tab within Syrinx SP Configuration\System Options\Customers screen:
The second option lets you indicate when a user should be warned. The default of zero indicates that a warning is issued when the total current liability hits their credit limit. Entering a positive value means they are warned when it goes over the credit limit by the given percentage. Entering a negative value means the warning is issued prior to reaching their credit limit.
The third option may be set to prevent the user from entering new hires or sales if the limit has been reached.
Amend Customers
The Account tab on the Amend Customers screen lets you view the current liability, plus it lets you override the ‘Prevent Hire/Sales’ system option at the customer level:

When entering a new hire or sale, if the total liability has reached the given percentage of a customer’s credit limit, then a new screen is displayed to the user showing their balance, credit limit, and total liability:
If the system has been set up to prevent hire/sales, then the message is worded differently, and the user will be prevented from entering the new hire or sale:
