Getting Started with the Inspection App
While everything can be completed from a tablet or phone, it can be a bit easier to open the Inspection App from your desktop to create your templates and questions. Here's how you can access the inspection app from your computer:

The Inspection App is a collection of questions that are added to a template. Each template represents an inspection job to be completed. It replaces a traditional paper checklist process with a digital one.
Adding/Creating Questions
Questions can be shared between different inspections so common questions only need to be added once and then shared amongst many templates. For instance, you will only need one “Check engine oil level” question for all items where the engine oil level needs to be checked.
1. From the Questions screen, click the + symbol to the left of the search bar. This will present you with a new Question template.
Question template definitions
Question - This is what the person performing the inspection will see. Be specific and word it in a way that will be easily answered with the options available. You can also open the Operator Manual as a PDF and copy and paste the text to save time and get accurate manufacturer wording.
Priority - Setting a question as “High” priority has two built-in features: It will trigger the inspection to go to “Review” status when the person performing the inspection does not have Review security authority. Someone with Review authority will have to go into the inspection, re-check (affirm) the High priority questions for the inspection to go to Completed status. A question set to High priority that fails will prompt for a Repair Order to be created when the inspection is completed. Use careful consideration when setting questions to High priority so that your operations are not unnecessarily interrupted.
Check For - This is where extra detail about the inspection point can be added.
Tags - Tags are words you can add for better search results. If you have a question that applies to a manufacturer and that same question will apply to different machines made by that manufacturer, you might enter the manufacturer name here.
Question Type - This identifies the type of answer you are looking for.
Min/Max - When your Question Type is a numeric value, you set parameters here for a Passing value.
Ceiling - This would be the max value on the numeric slider for numeric questions.
Step Increment - This setting is for the numeric slider. You can set it to increase by various amounts.
Notes - You can enter administrative notes here for others who create/edit questions. Turning on the “Allow time in/out to be individually logged for tasks on this job” will track time by question.
Activation Date - Date the question was created. An “automatic” question that is not on the template is an Hour Meter prompt. By default, any Rental-Hour Meter item will prompt for a meter reading as the last question in the job. To edit an existing question, select the Question option from the menu and then click the exclamation point. To delete a question, click on the trash can.
Expiration Date - Leave the default entry here.
Creating Templates
Templates are typically designed for the various types of inspection required for each type of equipment. A 500-hour service for a skid steer will be different from a 500-hour service for an excavator in most cases. Although, you could have a “Change oil and air filter” template that is shared amongst varied equipment types that have the same engine and service requirements. Just remember that oftentimes this type of documentation can end up in a legal process so be precise and accurate when creating and assigning templates.
1. From the Template screen, click the + symbol to the left of the search bar. This will present you with a new template profile.
Template definitions
Template Name - This should describe the type of service and equipment/component a template is for. For instance: 500hr Bobcat T550, Z30n ANSI Annual, or Honda Engine 100 Hour. Keep template names short as they will need to fit on mobile devices.
Tags - Tags are words you can add for better search results.
Priority - This will sort jobs on the device using this information. High will be at the top of the list while Low will be towards the bottom. This can help pre-determine the items that are serviced ahead of other items. Alternatively, you can go to the Settings option from the menu and select a different way to prioritize your jobs.
Notes - These are extra notes for Inspection App admins.
Estimated Time - Here you can set an estimated time for the job.
Assign To - Here you can decide where the job is displayed in the dashboard based on the user logged in. An unassigned template will always assign itself to the Store the item is located at. You may want a specific Group (Shop Service Techs) to inspect all MEWPs so all MEWP templates would be assigned to that group.
Activation Date - This is the date the template was created.
Expiration Date - Leave the default entry here.
Other Icons
Triangle Icon () - Located on the bottom right side of the screen. Allows access to the Pencil and 4 line icons.
Pencil Icon () - This will allow you to create a new question.
4 Lines Symbol Icon () - This will allow you to select from the already created questions.
Edit Template and Questions () - This is an editing option where both the template detail and the questions are presented side by side. Click the header description to view/edit either.
Edit Template () - This directs you to the Template Details to edit the information. Once you fill out your question or Template, select Save at the bottom. After you have created your questions, you can edit or delete them if needed. From the questions/template screen, located on the right, you will see an
for edit, and a
for delete. Also located at the bottom screen you will see arrow keys for you to move between different pages.
Creating Jobs in Point of Rental
You can set an item to trigger for an inspection based on the same criteria as other maintenances: by hours, days, times, etc.
Here's how to get there
Expert: Program Menu > File Maintenance > Item File > Maintenance > Item Maintenance Schedules
Elite: Configuration Gear > File Maintenance > Item File > Maintenance > Item Maintenance Schedules
Having the template selected in the Job Template field will prompt this to be triggered in the app.
A special type of inspection job is called a Pre-Check Inspection. These are triggered by having Maintenance Due set up as follows AND when a reservation is created, the job will be presented in the app.
You can also have a Repair Order automatically created based on the item reaching certain criteria. Upon closing of a transaction where the item hits the criteria, the Repair Order is created AND the job is triggered onto the app.
Remember to select your repair customer carefully as it can affect availability and other factors depending on the repair customers you have created.
From the same screen, you can right-click on the description and trigger the job.
Another way to trigger an inspection job is from a contract. While in Inquire or Modify mode in any type of contract:
1. Select Actions.
2. Then select Schedule Inspection.
3. Select the proper template and the job will be triggered.
Note: An inspection job triggered from a contract sets the inspection against the contract - NOT against any items on the contract.
This feature can be used for site inspections for tent rentals or other similar inspections.
Another way is from the app itself. You can create a job “on the fly” by either selecting the blue pencil icon on the home screen or from an Item Search.
Inspection App - Home Screen
You will be presented with a window to name the job, add the item, and choose the template. Upon completing this form, the user is directed straight to the template to begin the inspection. You can click the “X” to exit if the inspection is assigned to someone else or to be done later.
If you search for the item, once selected you will be presented with all Maintenance Options that are set up. You can select one from here to trigger the inspection.
Opening Repair Orders from the app
This can be done in multiple ways.
One way is that if a high-priority question fails, the user will be presented with the Repair Order feature when completing the job.
Another way is to use the Item Search feature. Once the item you are looking for is shown, you can click on the “tool” icon to open a Repair Order. Sometimes an item may need to be placed on a Repair Order based on something not related to an inspection job. A grayed-out tool icon indicates the item is already on a Repair Order. This will be shown on the last line of the detail.
Lastly, from the job template, there is a “slider icon” that has a Create Repair option.
Home Screen Options
The app home screen allows the user to view all of the jobs that have been created and are ready to be completed.
Jobs
The home screen displays quantities of jobs by User, Group, Store, and All. When selecting each of these, you can also select from In Progress or Completed. Below that is a list of jobs you can select from. The view is based on the user logged in. To see a job assigned to a specific group, you must be in that group in the employee setup.
At the bottom of the list is a “Show More” feature. This displays the jobs in a detailed view different from the home screen. A primary feature here is that you can see how far “in progress” certain jobs are as well as delete the job from here. You can expand the view to see more details.

This is a graphic showing the user’s completion levels.
Pre-Check
Once this is selected, it is important to go to the bottom of the screen and scroll the date forward to see items with future reservation dates.
Completing a Job
Upon selecting a job from the list, the user is presented with a header that contains an item picture, equipment details, the date the inspection was created, and who it is assigned to.
From the job template, you can reassign a job from the slider template too . As the user starts the inspection, the “Hide Completed” feature will automatically hide questions as they are answered. There is typically a 3-second delay for the question to hide. Unchecking that option leaves questions visible.
There are three icons on each question for options. The “document” icon allows the user to document notes specific to the question.
The picture icon allows the user to take pictures to document details related to the question. You can use the device camera to take pictures in real-time or you can upload existing pictures from the device. Pictures are inserted into the reports as thumbnails but to view the image in a larger format, you must view it from the app.
The pencil (edit) icon only presents itself when the question has been answered. Selecting this option allows the user to change the answer. The job must be saved again if this option is selected.
Reviewing Jobs
From the app, you can identify jobs that are "In Progress" or "For Review." You can also select a completed job and click on the clock icon to see the time breakdown for the user(s) who completed the job.
If the questions are set to log time individually, you can get a further breakdown by clicking the down arrow.
From the Program - Looking at Inspection App Information
From within the item record, you can run reports that show details related to each inspection completed.
Any pictures taken will be shown on these reports. To view them in a larger format, view them from the app.
