Called Off Rent

 

Called-off rent allows you to stop the rental time without closing the contract or the item.  When the item is picked up and brought back to your store, you can close the contract as you normally would. You will then have the option to select “Called Off Rent” in the closing menu. The system will allow you to log the call-off in a Call Log and provide a call-off number (the call log number) for the customer.  You will also be prompted to schedule the pickup and add pickup charges if desired.

Calling off rent on a contract

Important! Please note if your rate engine is set to a Party Rate, Called Off Rent will not be available.

  1. Close the contract as you normally would. When prompted, select “Called Off Rent” instead of Closing All Items.

  2. Select a date for the call-off (typically today).  Note: Entering a date before today for the stop date will require a Store Manager or higher password. This security requirement cannot be changed.

  3. Enter the stop time.

  4. Once the stop time has been entered, the call log box will appear. You must enter a call log type.

  5. Once the call log is complete, it will assign a call number.

  6. You will have the option to either stop the time on an individual item or all items.

  7. You can enter a new pick up date and time for the items. Note: When you call an entire contract off rent, the program automatically asks for your pickup information. You will be automatically prompted to set the pickup address on other items as well. If you have separate pickup items setup (items whose keys start with "PKUP"), the system will automatically charge the customer for the delivery as well.

GPS integrations

GPS integrations allow for an automatic check on the current meter reading from the GPS unit and then store the information. After you pick up the item and close the contract, it will compare the current meter reading to what it was when the customer called you. If the customer has used the item more than an hour after calling it off rent, you will be warned and given the option of charging the customer for the full time out rather than closing the item at the called-off time.
