Customer Rewards Program (Customer Loyalty)

 

To encourage your customers to rent more from you, we have created a Customer Rewards (Customer Loyalty) system. You define the percentage of each type of income that you want to reward the customer with. For example, you might want to give 1% rewards on rental and .5% rewards on sales, and nothing for asset sales. As the customer rents from you, the rewards will automatically accrue in their account. These rewards can then be used in future rentals. You also define the expiration date on rewards. For example, you can set them to expire after 6 months, thus encouraging your customers to come back within 6 months to get the benefit. The system automatically handles the accruing of rewards and the expiration of unused rewards. If the customer has any rewards available, the counter person will be given the option of applying the rewards to the current contract.

How does Customer Rewards work?

Customer Rewards are calculated at the end of each day when you finish your close. The customer rewards are not available for the customer until the next day.  Please note that if you close monthly, the Customer Rewards will not be available until the next month.

How are customer account types handled?

  • Cash Customers - Customer Rewards will be accrued on contracts paid in full. There are no rewards accrued on partial payments. Please note that if a cash contract is paid in full and items are returned, a negative reward will be deducted from the accrued rewards amount.
  • Account Customers - Customer Rewards will be accrued only on completed contracts.

How are rewards applied?

When a customer accrues rewards, you'll receive a message from within the payment screen on a new contract, allowing you to apply the rewards to the contract.

  • You will not have the option of applying less rewards than the accrued amount. If the reward amount exceeds the value of the contract, then the reward balance will roll over.
  • The payment type will be listed as a reward in the transaction history through the contract and the disbursements report.
  • Any negative rewards will be allocated, and the actual positive value rewards available will be adjusted to apply against the contract.  If the sum of all rewards is less than zero, then the rewards button will not appear at all.

 

Customer Rewards Details

The Rewards Detail record will list the total rewards earned and remaining on the top line, followed by the breakdown of the rewards by each contract.

From the customer record in File Maintenance > Customer File > Pricing Tab, check the box for Customer Rewards Membership, enrolling the customer into the program.

 There's an "Accrued" button that will display a list of all contracts for which the customer has accrued rewards. The Rewards Detail record will list the total rewards earned and remaining on the top line, followed by the breakdown of the rewards by each contract.

Refunding Rewards

Moving your mouse over the Use Rewards button will display the rewards amount in the Tool Tip pop-up. A detailed list of the rewards can be seen in the customer record. You can refund customer rewards back to the customer's account by simply selecting Refund the amount applied. For example, if the contract total was $500, and the customer paid $495.50 in cash and used 4.50 in rewards, you would first refund the real monies paid, then you can refund the rewards separately. When refunding the rewards, you will see the following message.

General Ledger Entries

When rewards are applied to a contract, accounts receivable is lowered and a disbursement account is increased. If you have created a disbursement account with a name that starts with Customer Rewards, or Loyalty, it will auto choose this disbursement; otherwise it will look for a misc. disbursement item or use disbursement #1.


 

Mass Update Customers for Customer Rewards

You can enroll customers into the customer rewards program in mass. See Database Management Tools for more information. Please Note that by selecting Mass Database, all customers entered into the program will share the same percentage of rewards assigned to the rental or sale of a contract.  For example, if two customers are in the rewards program and there is a 10% reward, both customers will receive the same percentage. If the amount of business each customer does is negligible, the percentage is still the same. Reward percentages cannot be customized per customer.
