Expert and Elite | Configure Permissions to Manage Access and Security
   

Learn how to configure security settings in Point of Rental Expert and Elite, including user groups, system permissions, password levels, and field-level restrictions, to effectively control user access and protect sensitive operations.

Configure Security Groups in Expert and Elite

Elite

  1. Click the gear icon in the top right menu.
  2. Under System, select Security Groups.
  3. Click the “+” button to create a new group and assign users via the pencil icon > Add Existing.

Expert

In Expert, go to Program Menu > Security > Employee Setup > Configure > Employee Groups.


 

💡 Employee Groups manage time tracking; Security Groups define access control permissions.

 

Apply Menu Security in Expert

  1. Go to Program Menu > Security > Menu Security.
  2. Select or create groups and configure access per menu item.
  3. Menu security defaults to terminal-level but can be overridden in the employee file.
        

Set Up System Security Permissions

  1. Navigate to:
    • Expert: Program Menu > Security > System Security
    • Elite: Configuration > Core Options > Security > System Security

       
  2. Assign roles such as Owner, Manager, Key Counter.

       
  3. Enable override tracking and configure limits (e.g., mass price changes).

        

Manage File Field Security

  1. Follow the path for your product:
    1. Expert - #9 Configuration > Security > File and Field Security.
    2. Elite -  Configuration > Core Options > Security > File and Field Security.


  2. Select the file type where you'd like to adjust permissions: Item File, Customer File, Transaction File, Store Totals file, Register, Next Number.
  3. Set or review the password level privileges. Press OK. 

     
  4. Set field permissions to Display, Modify, No Password, or Not Allowed.
  5. Only “No Password” fields are editable within active transactions.
        

Apply Elite Security Hierarchies

  1. Go to Configuration > System > Security.

     
  2. Understand hierarchy: Employee overrides Group, Group overrides Company. For more information, see our article: Elite - Security and Security Groups.

  3. Use the search bar to locate settings by keyword.

            

Use Elite Global Admin and SSO Features

 

  1. Open an operator record.
  2. Assign a unique email address in the Security tab to enable SSO.
  3. Log out of Elite.
  4. Enter the email you set in the operator record and press Forgot Password to create a password. You will receive a 6-digit Gappy code.
  5. SSO is required for access to messaging, mobile security, and consumer portal configuration.
⚠️ Password reset links expire in 24 hours.
