File Maintenance

 

File maintenance allows you to inquire, modify, add, or delete records in the major database files that are part of the Point of Rental system. Depending on how your store owner has set the Data File Security Options, you may not be permitted to perform all of these functions on all database files. First, you will be asked to enter the password. If you do not know the password, just press ENTER. You will still be permitted to perform any functions that may be allowed with a valid password.

How to Get There

Elite: Configuration gear (wheel) > Under Core Options, File Maintenance

Expert: Program Menu > File Maintenance 

 

Shortcuts

Under Modify or Add, all files use the same editing procedure and special character functions. The special editing characters for both are as follows:

\ (backslash) - exit record and save changes

/ (forward slash) - exit record and ask to save changes

= (equal) - repeats the key field in the current field

Tab - move to the next field

Shift Tab - move to the previous field

Esc - exit record and ask to save changes

 

File Types

Item File

In the Item file, you can view, create, and manage inventory items. Once this file is selected, the Inventory Selection screen appears, where you can view and modify items or create new ones. To learn more, see the article Item File (Records).

 

Customer File

From here, you can add new customer records or change existing ones. Once this file is selected, the Customer Selection screen appears, where you can view and modify customer accounts or create new ones. To learn more, see the article Customer File.

 

Transaction File

DO NOT EDIT THIS FILE. MAKE CHANGES WITHIN THE CONTRACT. IF you need to edit this record, call in to your support line. For more information on this file, see the article Transaction File.

 

Store Totals

In the case of the Totals file, instead of a search key, you will be requested a beginning date and an ending date. This file will show you the store totals at a glance. DO NOT MODIFY THIS RECORD WITHOUT CONSULTING PRODUCT SUPPORT.

Next Numbers File

In the case of the Next Numbers file, a screen will be displayed showing the current next numbers for the item file, customer file, contracts, etc.
