Line Item Availability

Learn how to set specific availability dates for individual line items directly within Contract Processing. This is especially useful for complex, multi-day contracts with installations or breakdowns, giving you more precise control over when items are available.

Enable Access to Availability Dates

Go to the Gear icon > System > Security > Scroll down to Transactions > Search for "Set Availability Dates"

 

If you do not see the field below, contact your Point of Rental administrator. 

 

Add Availability Columns in Contract Processing

You need to add two columns for Avail Begin and Avail End to the contract processing columns. 

    

  1. Open a contract.
  2. Right-click to customize the grid columns displayed. Enable the fields. You can reposition them as needed. Press Save when you're done. To learn more about customizing columns, see the article Contract Columns.

         
  3. Add the following columns to the view:

    • Avail Begin
    • Avail End

      

Set and Edit Line Item Availability Dates

    

  1. Double-click inside the Avail Begin or Avail End field to edit.
  2. Enter the specific dates for that line item.

     
  3. Availability will now be calculated for these items based on these dates rather than contract or delivery dates.
  4. If the availability date for the item changed is on a logistics ticket, the user will be prompted to update the rest of the items on the logistics ticket so that they do not have to be set individually.

           
  5. If the contract has multiple availability dates, users will also have the option to set all the lines to a new date or update all of the lines without a set availability date on the line item. This can be done by clicking on the 'Multiple' label at the bottom of the contract.

       

Availability Rules and Validation

  • The Availability Begin date cannot be set after the Delivery Date.
  • The Availability End date cannot be set before the Pickup Date.
  • If there are no delivery or pickup dates, validation is performed against the Contract Dates.

Why would I set availability dates for individual items?

This feature is especially useful for contracts with staggered installations, breakdowns, or multi-day schedules where not all items follow the same timeline.

The system defaults to using the contract dates or delivery/pickup dates to calculate availability.

The system prevents saving and prompts you to correct the dates according to the validation rules above.
