Mobile Workforce | Contract Actions




This document will explain how contract actions work within Mobile Workforce.

Contract Search


You can enter or scan a contract number.

Selecting the search options or show filters buttons will display additional features when searching for a contract, for example, Contract #, Customer Name, Contract Info, Item Number, etc.

Search Features

 

Partial Search -  You can search via serial number or part number, which performs a “contains” style search. (Name, Alias, and barcode already do this style search.) A search for ‘55’ will find XX55XX and 55XXXX and  XXXX55. Previously it would only find 55XXX.

Entering an asterisk in the Contract Search field will display all contract types (Open, Close, IMO, IRO, Quotes, Reservations).

Colors - Items and special fields will display the appropriate correlating colors, as seen in Counter System and File Maintenance, for example, red, green, yellow, gray, etc.



Contract Actions


Selecting the contract number will display more detailed information about the contract.

PDF Request - This allows you to email your customer a current version of the contract. All you will need is to enter their email address and they will receive a copy of the contract. This will pull the default email format defined under the Contracts tab in Parameters.

The email the customer will receive will contain the body of the email from the default email letter. This is defined in: 

Expert: Configuration > System Configurations > Email Letters
Elite: Configuration Gear > App Configurations > System Configurations > Email Letters



Contract Icons: Contract, Customer, & Dispatch

 

There are three icons across the top of the screen. Selecting one of these icons will display additional information related to that particular icon (Contract, Customer, Dispatch).

Contract information will be displayed including: Store, Information, Ordered By, Type of Customer, PO#, Job#, Salesman, and Comments.

Show Address Detail - When the Show Address Details button is tapped, Point of Rental pulls the information from the delivery tab on the contract. Tapping the Site phone number allows you to call the number.

Customer information will be displayed including: Status, Email, Phone, Mobile, PO#, Work, Billing Contact, Billing Phone.

Dispatch icon

Dispatch information will be displayed including: # of Stops, D/P State, Plan On-Site, Plan Arrive, Plan Depart, Required Arrive, Arrived, Departed, Delivery Notes.

Contract Tools

There are many useful tools a salesman or driver can use to access, enter, or update a contract in the field.

Call Log - This allows you to create a call log on the customer's contract. Once you enter and submit the information, you will see the status change to Call Log Success letting you know the action was sent. Once the task is submitted, the GPS location and time stamp are stored and saved onto your company’s datastore on Point of Rental's Workforce server.

Call-Off Rent - This allows you to call an item off rent and add comments in the note section.

View Items - You can view the items on the contact, displaying: Qty, Key, Name, Status, Due Date, Part #, and Sub status.

Availability - When searching for inventory you will see the current availability display in the In and Out columns, allowing Sales Reps to see what inventory is available when out on a jobsite. The same information is displayed when a specific item record is viewed. Values will be shown with a red cell when less than one item remains in, otherwise, the cell will be green. This availability data is for the current day and is updated every five minutes from your server by default.

New Search - This will allow you to search for other contracts.


Photos - You can take and add photos. It's recommended image sizes be between 0.5 MB and 2.0 MB. Your phone image resolution might need to be adjusted. Approximately eight images can be uploaded at once. The photos will be up-linked and added to the customer contract under the attachments folder. See the section Accessing Photos for more information.

Signature - You can capture customer signatures on-site and store them under the attachment tab in the customer contract.

Accessing Photos

This section will walk you through how to access photos. To view the image from Point of Rental, complete the following steps:
 

1. Go to <PORDrive>\WebTasks\Images\ContractImages\
 

2. Choose any year.
 

3. Choose any month.
 

4. Right-click on one of the images.
 

5. Select Open with.
