Special Rate Hierarchy
Special Rates are related to several things. Among them: Stores, Pricing Types, Customer, Jobsite, Customer Jobsites. The ‘system’ default for hierarchy is:
- Manual (highest priority)
- Customer Jobsite
- Customer
- Pricing Type
- Store
- Jobsite (lowest priority)
This means that a higher priority special rate will supersede a lower priority rate. Your store may have a special rate for an item but a Customer added to the contract with a special rate for the same item will update the rate. And vice versa - a Customer and a Jobsite may both have special rates for an item but it is the Customer that will drive the rate - not the jobsite. And, these rates will persist through continuation billings as long as nothing changes on the contract. If a change is made that supersedes the current rate, then that new rate will now persist through subsequent billings.
Custom hierarchy
There is a configuration that will allow this hierarchy to be changed to an order of priority that suits the rental business.
Access: There is a security option for ‘Special Rate Hierarchy’ in the Configurations area. When set to Yes, the user, Group or Company will be able to see and manipulate the order of priority from the Transactions area in configurations.
The priority is reorganized by simply clicking and dragging them into the order you prefer. The most important rate type will be at the top, the least important at the bottom. Click Submit to save.
It is advised to give this some thought before changing the order. What may seem like a good order in a narrow circumstance may create challenges in the broader scope of things. For instance, if Customer Jobsite is set to the highest priority and a user wants to change the rate in the contract, they can’t do it from the contract. They would have to go manipulate the special rate itself.
