Continuation Billing with a Sub-Rented Item

 

 

 

This article will show you how to continue a bill for a sub-rental (re-rent) contract in the Expert and Elite software.

Sub-Rented Items on Continued Contracts (Elite) 

There are two ways to continue a subrental contract within Elite. Subrental contracts can be continued at the same time the original contract is continued or they can be done manually.
 

 

Manually

To continue the contract manually, follow the steps in the below section "Expert".

 

Automatically

ℹ️ This feature is available in Elite versions 2022.14.

 

Step 1: Enable the “Continue Subrental Contracts” setting in Security.

When this setting is enabled, you will receive an additional prompt to continue billing the connected subrental contract when a continuation billing occurs.

 

  1. Select the Gear icon in the top left corner. This will take you to the configurations page. 


       

  2. Scroll down to the section labeled Transaction > then click on Continue Subrental Contracts to open its submenu. 


      

  3. Check the box "Subrental contracts linked to rental contracts will be continued", then press Submit.  

     

 

Step 2: Close the Contract and Continue it

  1. Close the original rental contract. This can be done in Close Contract or Day at a Glance.

    1. From Close Contract: Left Menu > Transactions > Close Contract
    2. From Day at Glance: Left Menu > Tools > Day at a Glance


  2. Once you're in the contract, select Close Contract. 


  3. In the menu that appears, select Continuation Bill and select the Close Date.


  4. Press Okay. Choose to "Print "or "No Print".


  5. You will receive an additional prompt to continue billing the connected subrental contract when a continuation billing occurs.

 

 

 

Sub-Rented Items on Continued Contracts (Expert)

In Expert, there are two steps in continuing a subrental contract. First, you must continue the original contract, then continue the subrental contract. Follow the steps below. 


STEP 1: Continuing the original contract
 

  1. Close the original rental contract. This can be done from the Counter System options: Close Contract and Inquire Contract (the contract can also be inquired from Day at a Glance).
       
  2. Select Continuation Bill.

  3. A calendar will appear displaying the next 28-day billing cycle.

  4. Select a date.

  5. Finish going through the contract by pressing OK.

  6. The new contract will appear with the next continuation letter, displaying at the end of the contract number.

  7. When you're ready, press OK and go through the Print Contract screen.

 

 

STEP 2: Continuing the Subrental Contract

ℹ️ Important: Subrental contracts can only be continued manually.


 

  1. Close the subrental contract. This can be done through Close Contract or Day at a Glance through the Counter System. Please note that Subrental contracts must be in an open status. If the contract is in the reservation status then it must be sent out first. 
     
  2. Select Continuation Bill.

  3. A calendar will appear displaying the next 28-day billing cycle.

  4. Select a date.

  5. Finish going through the contract by pressing OK.

  6. The new subrental contract will appear with the next continuation letter displaying at the end of the contract number.

  7. When you're ready, press OK and go through the Print Contract screen.
