Contract Notifications
This article discusses contract notifications and how they are generated from a contract. Contract notifications are a method used to automatically send notifications at certain stages of a contract's life. These notifications can be internal to your employees or external to your customers. For email or text notifications, your email program must be set up on the terminal generating the notification.
Please note that when a contract is cycle billed, it does not notify the customer. For example, if the 'closed contract' is checked until the final contract in the series, a notification will not be sent.

Contract Notifications Setup
- From within the contract processing screen, click the Notifications tab.
- Click the 'New Notification' button in the bottom right corner of the contract.
- Choose a notification method. The following box will pop up (see below). The top left dropdown menu gives you three options for sending messages: email, text message, or inter-office email (within the Point of Rental program).
Email
You can choose from a customer email address in the dropdown or type the address in the box below. SMS Text Message If you choose text message, you will see a box to enter the cell phone number and another with a dropdown menu where you can select the provider. Interoffice Emai If you choose Interoffice Email, a dropdown menu will appear with a list of all your employees.
- For the last step, determine when notifications will be sent. Notice the checkboxes that list transaction events. Check each operation that will trigger a notification. For example, if a box is checked, such as Called Off, when you call off a rental, the system will automatically generate a notification. Below are the operation definitions.
Open When the contract is sent out and the status changes to open. Marked Locked When the contract has been marked as locked through Day at a Glance. Modify Whenever a change has been made to the contract. Send Out Reservation This will send a notification when the reservation is sent out. Please note that it will show as "On The Way" through Mobile Workforce. Delivery When the contract has been marked as delivery on a contract. Call Off When the contract has been marked as called off rent. Close When the contract has gone from an open to closed status. Please note that when a contract is cycle billed, it does not notify the customer, even if the 'closed contract' is checked, until the final contract in the series. Completed When the contract has gone from a closed to completed status. Change Operation When the status of the operation on the contract has been changed either through the contract or through auto continuation.
