Delivery Tab
Used At/Delivery Address: This is the address information that will be used by the Dispatch Center to logistically plan. Contact, company, phone, and address information may be entered. If this contract is to be delivered to the billing address of the customer, simply check the box labeled “Same Address”.
| 1. | If the delivery and pickup notes are the same, you will only add the notes to the delivery side and the notes will print on pickup slips also. |
| 2. | You will only need to add pickup notes if they are different than the delivery notes. These notes will print on the pickup slips. |
| 3. | When printing a regular contract format (not delivery or pickup slip) both comments will show. |
Map It: This button will display the driving directions from your store to the delivery address. Note: You must have an internet connection to use this feature. There are several formats available including MapQuest, MSN, and Google that can be selected under Parameters. A screen like the following will be displayed:
Select Job Site: This button will bring up a listing of available Job Sites for this customer so that one can be selected.
View Job Site: This button will display all the information associated with the Job Site/Venue but will not allow the end-user to make any changes.
Create Job Site: This button will create a new Job Site from the information on this contract. Once the Job Site is created, you can modify any of the fields associated with the Job Site. See the File Maintenance for discussion of the Job Site fields.
Delivery Truck Assignment: This field is used to record the truck, driver, or other information you desire or who did the delivery. Your store's delivery trucks are set up under Program Menu; Configuration; Delivery Trucks.
Delivery Trip: This field is used to enter the name of the trip. This is a user-defined field so you could use AM, PM, MORNING, FIRST, etc. for the trip name.
Delivery Unload/Setup Time: This field is used to enter the unloading and/or setup time for this contract. This time helps the dispatcher determine delivery times. It is also used with the optional Dispatch Center module to automatically determine delivery routes and times.
Delivery Crew Count: This field is used to enter the number of crew that will be doing the delivery.
Weight: Sum weight of all items on the contract. Dependent on this field is populated on the options tab of the item file..
Size: Sum cube size of all items on the contract. Dependent on this field is populated on the options tab of the item file.
Pickup Truck Assignment: This field is used to record the truck, driver, or other information you desire amount how or who did the pickup.
Pickup Trip: This field is used to enter the name of the pickup trip. This is a user-defined field so you could use AM, PM, MORNING, FIRST, etc. for the trip name.
Pickup Unload/Setup Time: This field is used to enter the loading time for this contract. This time helps the dispatcher determine delivery times. It is also used with the optional Dispatch Center module to automatically determine delivery routes and times.
Pickup Crew Count: This field is used to enter the number of crew that will be doing the pickup.
Delivery Instructions: This field is used to enter the delivery instructions. This can be any information that you want to print on the contract. This field is also scrollable for warehouse staff even when the contract is only accessible to them via "Inquire"..
Delivery/Pickup: Checking this box will allow you to schedule a delivery or a pickup. If the box is unchecked, then this is considered a "Will Call" meaning the customer would be picking up.
You will be able to see all deliveries and pickup for that time frame. The time format will adapt to what is set on the user’s terminal. Once selected OK, you will be asked to enter in a delivery/pickup address and any delivery instructions. You can also set who can receive a notification on the contract by entering their email address in the appropriate field.
Availability is calculated off of delivery/pickup dates when present. The choice of delivery/pickup date could trigger an overbook on a reservation where one was not present before. Additionally, if the pickup date is extended on an open contract, it may trigger an overbook.
While entering a delivery address, the program will search all job sites and present a list of job sites with the matching address (if any). If the user then selects the job site from this list, the discounts, sales rep, taxable status, etc from the job site will be carried onto the contract. The same thing will occur while typing in a pickup address, however, the specific information from the job site will not carry over to the contract.
