Elite Cloud File Storage:  As we move Elite Cloud forward to a more modern platform, the storage of files that would otherwise happen on the server drive (for things like attachments, instructions, pictures, etc) will be moved to cloud storage.  Users will be able to access these records from a left menu option called ‘File Management’ that has its own security controls.  Over the next several months we will be migrating users in groups.  An email will go out the day before you are migrated informing you.  For more information please reference the uLearn article: File Storage in Elite. Please review your data.  The old drives will be going away at the end of March.

 

Overbooking Buffer:
Configuring an overbooking buffer has now been added as a way to pad the availability hours of an item based on the location the quantity is located in.  The configuration is located under Inventory Management in Elite browser configuration (a new configuration section).  It is set up between stores by hours.  When enabled, overbooking buffers exclude quantities within the configured hour thresholds and will prompt a new security override to allow the overbooking to happen.  A message will also appear in the bottom left of the overbooking box to indicate the item is within the buffer.  A new Overbooking Buffer column on Inventory Selection shows adjusted quantities before you reach the overbook screen. This gives you foresight to choose items and avoid unnecessary overrides.

 

Availability Column in Inventory Selection and Event End Date:
When an event end date exists, that will now be used in the availability dates in the inventory selection screen.  If no Event End Date is set, it will continue to rely on the first item on the contract (provided there are no delivery/pickup dates, other availability dates, etc)

 

API-Customer Notes:
You can now get, create, and update Customer Notes through the API to keep records in sync across systems. 

 

API-New endpoint to adjust stock quantities:
We added a new API endpoint to adjust stock quantities for serialized and bulk items, letting you increase or decrease counts and optionally include a count date. This helps you reconcile inventory changes from other systems.

 

File Management opens when selecting a Logo:
Selecting a logo in Parameters now opens File Management instead of the local file explorer. This provides a consistent experience for cloud hosted environments and avoids manual file handling.

 

Choose Item Images directly from File Management:
For cloud hosted systems, Item File and Item Availability screens now open to select images directly from File Management when ‘From File’ is selected from the right click. This provides a consistent experience for cloud hosted environments and avoids manual file handling.

 

Custom translation search is now case-insensitive:
Searching Custom Translations is now case-insensitive. You can find phrases regardless of capitalization, which helps you locate and update terms faster.

 

Cayan-CEDP Compliant:
Elite now sends full line-item details—description, quantity, and line total—to Cayan/CDP in the payload. This helps transactions pass new data validation and may reduce additional fees across both legacy Cayan and POR Pay integrations.

 

eCommerceView Videos and Manuals on Product Detail Pages:
Customers can open training videos and manuals pulled from Elite directly from the product detail page. Videos and documents open in a new tab and render cleanly on desktop and mobile, helping shoppers learn how to use equipment and rent with confidence. If no media is available, the page remains clean with no empty sections. Heads-up: Attach the desired content to item records in Elite to make it available online.

 

eCommerce | Phone-Based Verification Fallback for Consumer Portal:
If email codes do not arrive, consumers can request an SMS verification code using phone numbers from your RMS contact data. This helps more users complete registration or password resets and reduces support cases, with audit logs captured for compliance; admins can manage phone numbers in Gadmin. Heads-up: Review who can manage contact data and verification settings. This may require role/permission updates.

 

eCommerce | Used Equipment Marked Not For Sale Now Hides Automatically:
When you mark a used equipment item as not for sale in Elite, Unified Storefront now hides it from shoppers after the next import. This helps prevent stale listings and keeps your catalog accurate without manual cleanup. The update processes items in a single batch for better performance.

 

eCommerce | Suggested Items Display Correctly on Product Pages:
Suggested items configured in Elite now appear on the Unified Storefront product detail page as expected. This helps you promote complementary rentals and increase basket size, while excluding items you have marked as closed or otherwise ineligible. No action is required on your side.

 

eCommerce | Choose Whether Slideshow CTAs Open in a New Tab:
You can now choose per slide whether a slideshow Call to Action link opens in a new browser tab, while keeping the current behavior by default. This helps keep shoppers on your storefront when linking to external sites. Heads-up: Set this option on each slide in your slideshow settings.

Purchase Order Suspense Detail:  A new report has been created for those of you that use your purchase order suspense accounts.  It will create a list of all received but not posted purchase order items for easy reconciliation.  This saves time from having to go filter all of these items in the purchase order grid.  I bet we made some bunny out there really happy.

 

Ad-hoc Pricing:  We have hidden a new way to price line items called ‘Ad-hoc’ pricing in your Easter baskets.  When the user changes a price on the line item, a third section has been added for an ad-hoc special rate.  When this price is set, it will persist for the lifetime of the contract.  It will not carry over to the next invoice if the contract is continuation billed.  It will not change when the line is modified.  If the contract is cloned, it will follow the ‘yes’ or ‘no’ answer to the prompt about recomputing prices.  A change in quantity will use the derived each price of the ad hoc price to update the price. Discounts can be set against ad hoc prices. Additionally, security in the transaction section of security allows the user to turn this ability on/off on a company, group, or employee level. Now if you’ll excuse me, I’m off to eat my weight in deviled eggs.
