Internal Maintenance Order - Manual Process
Typically used by companies that have service managers who keep track of and assign work as necessary.
1. An item becomes due for maintenance after it passes the thresh hold set for it. Common tasks are oil changes after a certain amount of hour meter hours, so many rentals, etc.… When closing the contract, after choosing to print or not, the user will be alerted with the following message.
2. To view this maintenance, and any others that may be pending, from the top left of the Counter System menu, click on Tools>Maintenance Due. This will show anything up for maintenance. A percentage can be added at the top left as well. For example, putting 5% would show everything due as well as everything within 5% of coming due.
Right-clicking on the item needing maintenance will bring the following menu. Click “Clear Maintenance”.
3. Check the box of the frequency to be completed. Click “Create Maintenance Required Contract”. This will create an internal maintenance order that can be found under Day at a Glance.

4. Modify the IMO like any other repair order by adding parts used (fuel filter, oil filter, oil, air filter). Any cost from these items will be added to Repair Cost under the income tab of the item.
*Notes – An Internal Maintenance Order does not take an item out of service. To make it out of service while the maintenance is underway, double click on the status of the item in the IMO and change the status to open. This will make it so someone doesn’t rent it out while it’s on a jack with no oil.
