POR One | Deliveries & Pickups with Routes


The POR One Routes feature is linked to the Elite Dispatch Center. To get full capabilities out of this feature,  we recommend using this with the Dispatch Center. For more information or to get a license for the Dispatch Center module, contact us. If the Dispatch Center is not used, a delivery and/or pickup task can still be completed from the contract. This allows those without the Dispatch Center Module to complete condition checks of equipment. In the Dispatch Center, a dispatcher can assign routes and stops to the drivers. These routes will then be available to the drivers in POR One. Drivers must have routes assigned to them in order to use this feature.

Suggested Workflow

Below is the intended workflow for using the POR One App and the Route Feature.

  1.  The dispatcher assigns routes to drivers using the Dispatch Center.

  2. The driver logs into POR One, selects Routes from the Home page, and can see routes assigned to them that are ready to be delivered or collected.

  3. The driver selects the first route and presses “Start Route.” At this point, the driver can load the items or prepare themselves for the route.

  4. From either the Stops Details page or the Routes Details page, the driver can begin going through the process of the trip:

    • On The Way - The driver is en route to the Stop destination.
    • Arrived - The driver arrived at the stop destination.
    • Stop Complete - The driver has completed the Stop and is ready to depart the destination. 

      ℹ️ IMPORTANT! If you are integrated with a mapping system that creates geofences (ie: TSO or Samsara) and your Drivers are using POR One, the passing into and out of these geofences will trigger the Arrived and Departed notifications automatically.  Your driver will not have the opportunity to select these options.  If you would rather your driver dictate Arrived and Departed, remove the truck's device information in the Dispatch Center.  The driver's actions will still trigger notifications.
  1. When the driver is ready to leave the rental location, they will select “On the Way” for the first stop.
    • On the Way updates the Dispatch Center and can notify the customer if configured in Elite.

  2. Once the Driver arrives at the location for the delivery or pick-up, they will select “Arrived.”
    • On the Way updates the Dispatch Center and can notify the customer if configured in Elite.

  3. Now the driver can navigate to the Stops Details page to view all.

  4. The driver now completes the “Driver Delivery” or “Driver Pickup” tasks. These are the condition checks for the equipment that is either going “On Rent” or “Off Rent.”

  5. Once the checklist is completed and the Stop is complete, the driver can update Dispatch by selecting “Stop Complete.”

  6. The driver can proceed to the next Stop by selecting “On the Way.” If all Stops are complete, the driver can return to the rental location and select “Route Complete.”

 

Notes

  • Completed Stops will be hidden by default, but can be shown by selecting the “Show Completed Stops" option.

  • If a Stop cannot be completed, the driver can still complete the route but will be prompted that there are outstanding stops.

  • Call Logs taken on the Stops Details page will be reflected against the contract for the stop.

  • eSignature must be configured in Elite to be captured on POR One. This includes checking the "Use eSign Deliveries" in System Parameters | Contracts Tab.

 

 

How to access POR One

To get started, open your POR One mobile app and sign in. After you are signed in, you can select the routes option. If you do not see this option, please contact an administrator in your organization to enable this permission for your user.
 



Routes

For versions 2025.01 and above, Routes have been enhanced to refresh automatically to keep data current for your Drivers. When Dispatch makes a change or addition to a Route or a Stop, it will be updated on POR One whenever a driver views the Routes list page, and while they are viewing it, it will be updated at regular intervals. This will keep the up-to-date information on their device while out on the run. 

Search and Features

Search

Search text can be entered to limit the number of routes shown. For instance, the driver can enter a specific Route name to show only that result.

Route Filters

  • Route Status - This allows you to filter routes based on the status assigned within the dispatch center. By default, Route Confirmed, Transmitted Unit, or In Transit are shown for Route Status. 

  • Date/Time - Date Default: Yesterday, Today, and all future days. Other options: All, Custom Search Dates.

  • Show Routes from all users - By default, this toggle is off so that a driver only sees their own routes. Turning this toggle on shows all routes assigned to any driver(s).

 

Routes Page

After navigating to Routes, your drivers and crew are immediately shown all routes assigned to them, with a status of Route Confirmed, Transmitted Unit, or In Transit. A search function is available, but it is not necessary for the day-to-day use of Routes when configured properly by the dispatcher in the Dispatch Center.Graphical user interface, application  Description automatically generated

 

To begin a route or to view the route in further detail, the user must tap on the route card. Each card has the Route Name displayed at the top of the card. The card also contains the:
 

  • Route Status - Current status of the route. If more needs to be shown, the full list of statuses is available in the Search filters.

  • Vehicle - ID of the vehicle assigned to the route.

  • Driver - Name of the driver assigned to the route.

  • Distance - Length of the route.

  • Role - The role will either be Driver or Crew, depending on how the user was assigned to the route in Dispatch Center.


Route Details

Once the driver has selected a route from the Route list page, they will be navigated to the Route Details page. Here, they will see all of the stops on the route. To begin, the driver must simply tap on “Start Route.” The button will then change to “Complete Route” which can be used after all stops are completed. As each stop is completed, it will be hidden by default. There is an option for the driver to see completed stops that can be toggled on but will be off by default.

 

Routes process

  1. After a driver has started the route, they can now begin to make their stops. First, a driver will select “On The Way,” which will notify the Dispatch Center (and the customer if delivery notifications are set up on the transaction in Elite) that the truck is inbound.

  2. Upon reaching the stop's destination, the driver can set the next notification to “Arrived.”

  3. Once the stop is complete, they will use “Complete Stop,” and the Dispatch Center will be notified that the driver is done. At this point, they can either begin the next stop by tapping “On the Way” or return to the rental store if all stops have been completed.

       

       

      Driver Delivery and Driver Pick-Up Tasks

      At the stop, the driver will complete a condition check of all items that are being delivered or collected. The checklist can vary depending on the equipment.
       

      Selecting Serialized Items - If the item has not had a serial number associated with it on the contract, the driver can do so from the checklist. 

      Quantity - This can be adjusted for bulk items. 

      Condition Photos - Photos taken are associated with the contract and the item and are viewable in Elite.

      Meter Reading - Current meter reading is taken by the driver and the previous one from the item record is shown. 

      Damage Flag - The driver can tag any damage against the equipment.

      • Note - This is a free text field that the driver can input any details about the stop as needed.

      • Delivered or Pick up Flag - The driver can indicate that the item on the checklist has been delivered or collected or can select “No” if it has not.

      • Fuel - On delivery, the driver can verify the tank level.  On pickup, the driver can indicate how much fuel has been used.  This ia automatically sold on the contract in Elite and a call log with the information is also added to the contract.

      Completing Tasks

      When all the checklists are completed, the driver can then get a customer's signature and submit the task. Until the task is submitted, it will not be shown in Elite. The signature will show up on the contract's attachments, and any notes will show up as a Call Log on the contract.
