Ready Tag
Ready Tag automatically builds a queue of items requiring a post-rental inspection. From this list, staff can search and select the item they are servicing, inspect it using a built-in checklist, and document its condition. Once the item passes inspection, it will be marked as available in Elite in real time, helping ensure less-than-optimal items are not rented.

Important things to know
- Security settings must be enabled to use Ready Tags. You can enable them by clicking the gear icon in the upper right corner of the home screen > System - Security > Item Record. Then, change the drop-downs for ‘Update Ready Status’ and ‘Update Ready Status on return’ to "Yes."
- Ready tags only work on serialized items with headers
- In Elite versions 2026.02 and above, a Ready/Not Ready/Not Set Column/Filter is available in the browser item search grid. This allows managers to see what items are still waiting to be inspected easily.
Setup
When an item is closed on a contract, a configuration on the header will determine whether it is put in a ‘Ready’ or ‘Not Ready’ status. This configuration applies to all serialized items under this parent header. The Ready tag configuration only applies to serialized items and will not appear on bulk headers.
You can find the configuration settings in the Options tab.
-
Do Nothing - The default configuration, this status ignores Ready/Not Ready, and the item will fall through the status hierarchy when the contract closes.
-
Ready - Sets item to status of ‘Ready’ when the contract closes.
-
Not Ready - Sets item to status of ‘Not Ready’ when the contract closes.
Please note the status of being ‘Not Ready’ does not put an item out of availability. If the user would like to also put the item out of availability when it is in this status, the user will need to set up availability delay contracts in their system. These require an availability delay to be put on the serialized item itself (If done from the header user will be prompted to update all the serialized items) and for the configuration to create availability delay contracts to be turned on. When the contract closes, the item will be put on an availability delay contract to keep it out of availability. For more information, refer to the document Item Availability Delay.
POR One
Once an item is in a ‘Not Ready’ status, it will appear on the Ready Tag list in the POR One app. You need to have Ready Tag enabled in your company's Gadmin permissions in order to see it in your app menu.
Opening the Ready Tag icon displays a list of units that need actioning. Either scroll the list and select the appropriate unit or use the search bar at the top to narrow the selection.
Click on the unit to open the Ready Tag checklist.
This will open a preset checklist. In addition to basic condition questions, there are areas to add condition photos and notes (optional). Once all the questions are answered, an additional question will appear at the bottom of the checklist, “Item is ready for rent?” Selecting Yes will set the status to ‘Ready’ and will update to Elite. Selecting No will leave the item in the ‘Not Ready’ status. Once the item is in a status of ‘Ready’, it will go back through the status hierarchy and become available, reserved, IMO, etc., depending on whether and which other contracts are written against it.
It is also possible to affect the Ready/Not Ready status of the item from the item record itself from within Elite by right-clicking on the status in the item record. A notes field will also pop up. Every time an item transitions from Ready to Not Ready, or vice versa, an entry is written to the edit history with the date, time, status, operator, and any notes entered (if done from the item file in Elite). This applies whether it is done from the item record or POR One.
If you are also creating availability delay contracts for their items, setting the item to ‘Ready’ will automatically remove it from those contracts so it can go back through the status hierarchy and become available.
