Refund by Company Check from Contract
Disbursement Items
There are three ways to issue a check refund back to your customer, through the Contract, Accounts Receivable or Customer Dashboard. Either option will require a disbursement to be created through Program Menu>Configurations>Accounting Configurations>Disbursements. Add a disbursement item for CHECK REFUNDS. For maximum amount enter -2000.00 for each password level. For account number enter your GL Account number for Check Refunds.
Part 1
When refunding a check from a contract, it is a two-part process. Part 1 from the payment screen in the contract enter NEGATIVE dollar amount and select check. This will lower you cash draw for the day to show a negative check amount at your End of Day.
Part 2.
You will create a disbursement adding the money back into the draw to balance out your drawer. From Program Menu, Counter System, Disbursements.
Select Item Name from drop down menu: Refund by Company Check
Select type of Disbursement: Check
Amount Added or Removed from the drawer Select Check
You will enter the amount to be added back to the drawer, should be the same amount as a POSITIVE number that was refunded from the contract.
Once you click ok, you will be prompted a message, “Put $$ into the drawer for “Refund by Company Check,” Select Yes.
You will be asked to enter the name of the Customer and the check number the check will be written for. You will also be asked if you would like to print out a disbursement report.
When closing for the End of Day, you will see a negative check and a positive check transaction, these will cancel each other out.
• Note: If you only refund the customer by check through the contract, and do not do a disbursement, then you will see a negative check in your cash drawer at the End of Day.
