Contacts - Browser

 

Contacts are individuals that, generally, work for a person or company that has a Customer record in the system.

 

A Contact can be synced to a Customer record.  Meaning, they are ‘one and the same’ individual.

 

A Contact does not have to be tied to a Customer record.  It could be as simple as: ‘Bob’.

 

Creating a new Contact record

There are three places this can be done.  All require ‘Insert Contact’ security. 

  1. Universal search dropdown (+ option)
  2. From Contact search (+ option)
  3. From Customer > Contact related object option.

 

The ‘Personal’ tab can have the DL Number set to ‘required’ or not.  This is set in security.

The ‘Preferences’ tab allows you to set some options:

  • Active/Inactive dates - These are tied in with the contract form.  A Contact will not display as an option if the contract is being written outside of these dates.
  • Force Verify - Not currently being used in browser contacts/contracts.
  • No Email - This flag is used to help prevent these Contacts from getting promotional emails.  
  • API Link - Not currently being used
  • Opt in - This can be used to determine when a Contact may ‘Opt in’ for promotional emails or other communications.

Notifications

Notification setup must be done from the Core interface.

 

How Contact relationships work

 

A Contact can be a “Contact for’ many Customer records in the system.

 

A Contact can only be synced to one Customer record.  When they are synced, updates to things like Name, phone numbers and email must be done in the Customer record. 

 

In the following example, Amy Benaquis is a Contact for three different people.  She is also the same person as Customer record #164315.

This list shows several people with the same name.  Using the ‘Contact’s Customer Number’ column, you can quickly see that three of them are the same person.  And the other two are different people (likely) because they have different emails.

If it turns out that, say, ID 20780 is the same person as Contact’s Customer Number 164315, you can simply update ID 20780 to be synced with customer record 164315.

 

From Universal search, you can type in a name and quickly see related customers they are a contact for:
