Maintenance Due
An item becomes due for maintenance after it passes the threshold set for it. Common tasks would include oil changes after a certain amount of hour meter hours, the number of actual rentals, etc. When closing the contract, after the print screen, the user will be alerted with the following message. If a To-Do List exists, the user will be asked if they want to print it as well.
To view this maintenance or any others that might be pending, click on Tools> Maintenance Due at the top left of the Counter System menu. Maintenance in red is due. A percentage can be added at the top left as well. For example, entering 5 would show all items currently due, as well as any item within 5% of being due.
*Note: When the Create IRO box is checked in the Item Maintenance screen and the Print Only option is chosen, the To-Do File will print when the contract is closed.
* Note: These Maintenance Schedules will not be displayed in the Maintenance Dashboard.
Right-clicking on the item needing maintenance will bring the following menu. Click “Clear Maintenance”.
Check the box of the frequency to be completed.
Item Maintenance will display the Description, Frequency, Intervals, Current Reading, Last Service date, and Maintenance Cost. You can enter any cost associated with the service of the maintenance being performed.
Check the box of the item that would need to be cleared. Once done, the field under the service will highlight yellow. Select the employee who performed the service. This will link the operator who completed the service and also link the repair contract the maintenance was completed from.
This information entered in the "Comments" sections will be saved in the history of the item record.
* Note - If there is no Reading entered in the reading field, you will be required to enter the ending meter reading (if applicable).
Once the Maintenance has been cleared, the item will be updated under the Maintenance Schedule from within the item record.
Viewing the item record in File Maintenance shows what has been done and the cost that was entered. The Total Cost will show the accumulated cost for each frequency.
*Note: From the Item Record you can retrieve a list of past maintenance that has been completed in this manner.
If you repair equipment for your customers, you can set up maintenance schedules for their equipment. When service becomes due, you can use the Maintenance Due List to contact your customer to schedule the service instead of waiting for them to call you.
