Missing and Damaged Contracts (M&D)

When not all items are returned from a rental, they must be managed under a new contract. This keeps them out of availability and allows operational procedures (like a pickup).

How Does It Work

A new Create M&D button on contracts automatically finds fulfillment-count discrepancies, generates a new standalone contract, and pre-populates rental items at 100% discount. Sold items are added as sold-asset lines. The resulting contract is fully functional (countable, schedulable, billable) just like any other contract. 

 

 

How to Get There

The ‘Create M&D’ button is available on the fulfillment tab of a contract when it is being modified. 

 

ℹ️ Fulfillment is a licensed add-on module. The Fulfillment tab appears in the contract without a license but blocks access. The Create M&D button is still present and usable without Fulfillment. However, without a license, users won't receive automation for fulfillment counts.  

 

Creating a Missing and Damaged Contract

This button will open a new window listing rental items with count discrepancies. From here, quantities can be modified. If the items are broken and not just missing, they can be marked as asset sales. To see the other items on the contract, click ‘Show all items’ at the bottom left. These items can then also be added to the new contract as open items or asset sales.  

 

Contract info, operation, and transaction type can all be added to easily identify these contracts in other screens.

ℹ️ Please note that there isn't a dedicated M&D report. You can find M&D contracts via Day-at-a-Glance or other screens filtered/grouped by transaction type or operation.

 

  

Once saved, the M&D contract will be created with the appropriate open rental lines and/or asset sales. Please note that Fulfillment prep-out counts from the main contract do not carry over. 

 

  • The open line items will be defaulted out for 7 days. No parameter exists to configure this default. If needed, you can adjust it manually after creation.

  • Rental pricing will be discounted 100%. If you later decide to bill for additional rental time, you can remove the discount.

 

The new contract inherits customer and address details. It will be linked to the original contract in Related Contracts.

 

This contract is like any other contract. Operational actions can be taken against it and, if needed, it can be used to bill the customer.  Additionally, 
M&D audit trail uses standard transaction edit history, the same as any other contract. Creation and all modifications are tracked there.
