Preparing Attachments
Before Enhanced Attachments can appear on your website's item records, you'll need to discover which types of attachments you can show.
Types of Attachments
- Info - This is the simplest of all attachments! The information in this section is copied directly from the Specs in your item record in POR.
-
Literature - You will collect these PDFs in an online public drive, such as Google Drive. You may show multiple PDFs in the Literature section. Examples of docs you might collect for this section are Operator Manuals, Manufacturer Specs, Reference Guides, Sell Sheets, etc.
-
Risk Assessment - Please note, we RECOMMEND that US stores DO NOT use this section to avoid confusion for customers. The Risk Assessment section was developed specifically for the Australian market. For those who choose to use it, these are PDFs that you will collect in an online public drive, such as Google Drive. You may also show multiple PDFs in the Risk Assessment section. We suggest you use this section only for Risk Management Reports.
-
Video - This section contains an embedded video. The video content may be of your choosing – a marketing video, safety video, instructional video, etc.
You may choose which attachments you show on different items; one item may have Info and Video only, while another may have all four attachment types. The Item attachment type is required to use the other types.
Filling out the Info section is just a matter of entering Specs in the item record, which you may already have in place. Ensure you have no internal notes in your Specs; those should be moved to Notes!
Adding a video is quick and simple once you find your video! See the next section.
Collecting PDF docs for the Literature and Risk Assessment sections requires you to create an online public drive and copy the PDFs, such as Google Drive. Make sure you are not logged in to your account while doing this!! Once the PDFs are in place, you’ll copy each URL to the URL box for the appropriate section, as you’ll see later in this doc. While we suggest Google Drive, we do not support it – but you can Google info about it and figure it out pretty easily!
Adding Attachments
⚠️ Before trying to set up Enhanced Attachments for your POR-hosted website, please contact our Web Support team to enable this feature and for more detailed instructions by calling POR Support or emailing support@pointofrental.com.
⚠️We are not responsible for the legality or liability of documents and videos on your website if a customer claims damages due to what they perceive to be erroneous information. We suggest using ONLY manufacturer documents and videos and consulting your legal team or attorney for advice. We are happy to add a short disclaimer to the site if necessary.
We suggest you start with one item on your website and add the attachments to get your feet wet and answer any kinks or questions. You can fly through the rest once you’ve done one or two items!
- First, locate the item record to which you want to add the enhanced attachments. If a header record is showing on the website, enter the enhanced attachments on the header record; otherwise, enter them on the serialized item records that appear on the website:
- File Maintenance
- Item File

- Next, click on Attachments in the menu bar on the item record. A popup window will appear.
- Click Add, and another popup window will appear.
- Description: This will show in the Attachments sections on the website as the text link.
- Location: Skip for now – we’ll come back to this one!
- Password Level: You may ignore this field.
- Inactive: Check this box to deactivate this particular attachment for in-store/counter/customer use and on the website.
- Description: This will show in the Attachments sections on the website as the text link.
Web Settings
- Fill out the Web Settings section.
- Group: The first time you enter an attachment in each section, you must type in one of these keywords: “Info,” “Literature,” “Risk Assessment,” or “Video.” In this example, type “Literature,” as that is the tab under which you want your link to show. After you type in each keyword for the first time, the keyword(s) will appear in a dropdown box for you to choose.
- Sort Order: You may enter a sort code here to display your Literature or Risk Assessment tab document links in a certain order.
- Hide on Website: Check this box ONLY if you want to prevent the document link from showing on the item page on the website.

- Enter the Location. Click on the Set URL box. Another popup window will appear. In a browser window, navigate to your document in the online public drive you set up or to the video in your YouTube channel, depending on the type of attachment you are adding.
- For document links, copy the URL from the browser to the URL box as noted above and click OK.
- For a video, you'll need to go to the YouTube page, click on SHARE (bottom right), and then click on the COPY button. The resulting YouTube link MUST look short and simple, like this: https://youtu.be/H-VjyP42g64.
- If the YouTube link is long, starting with <iframe width="560".... >, then it is NOT the correct format.
- For document links, copy the URL from the browser to the URL box as noted above and click OK.
- You may click the View Attachment box to verify that you have successfully linked to your document.
ℹ️ Item records MUST have something written in the SPECS field for the Enhanced Attachments to appear. If you add an attachment to the item record and the empty SPEC field, the attachment will NOT appear on the website.
