eCommerce | Managing Resource Galleries

 

 

This article explains how to create and manage a Resources Gallery for an integrated Point of Rental (POR) eCommerce website. It guides users through setting up the correct folder structure on the POR server, organizing and uploading images or documents (such as forms, guides, and coupons), and ensuring that these files display correctly on the website. It also covers how to maintain and update the Resources Gallery over time, including adding, replacing, or removing files and coordinating with the Web Design Team when needed.

Step 1: Confirm/Create folder structure
 

To create and manage images/documents for Resources on your integrated POR website, you will be saving files directly on your POR Server in the following location:

C:\POR\WEBCONTENT\site001\Gallery\WebDoc

 

How to get there

  • Expert: Program Menu > Configuration > Other Updates > Update Website > Help (in the toolbar) > Explore Folder
  • Elite: Gear icon > App Configurations (under Core Options) > Other Updates > Update Website > Help (in the toolbar) > Explore Folder

 

 

  1. Replace C:\ with whichever drive your POR system is installed under, e.g. D:\, etc.

  2. If you have more than one integrated website or are running Mobile Workforce, replace /site001 with the correct site #, e.g.,/site002. You can usually tell by looking in the sitexxx folders in your /webcontent folder - the one you want will already have a /gallery folder in it. Ask the POR Web Design Team if you’re unsure which folder is the correct one.
  3. If you do not see the subfolder /WebDoc, create it.

 

 

Step 2: Create & organize your images and/or documents

 
  • If you are creating guides, policies, credit apps, or other forms, save them as PDF files, no larger than 1.4Mb.

  • If you are creating coupons, create them as JPG images, no larger than 550px by 100px. It is most user-friendly if you create a border around your coupon. (Multiple coupons may be saved as a PDF instead of .jpgs)

  • Do not use special characters in document or image filenames (i.e., no quotes, double quotes, commas, #, $, &, etc.).

  • The name you choose for your PDF file will be the name displayed as a link on the Resources page of your website.


 

Step 3: Copy your images & documents to your POR server
 

  • Your documents should be organized into subfolders such as: Forms, Policies, Guides, Coupon, etc.. These folders will become sections on your Resources page on the website, so create appropriate subfolders in the /WebDoc folder:
    C:\POR\WEBCONTENT\site001\Gallery\WebDoc\Forms
    C:\POR\WEBCONTENT\site001\Gallery\WebDoc\Coupon

  • Copy the image & document files that you created in Step #2 into the corresponding subfolder on your POR server under C:\POR\WEBCONTENT\site001\Gallery\WebDoc.
     

  • Your nightly website update (or the manual “Update Website” from the POR Configuration menu if you’d like to see your immediate changes) will then pick up the images/documents from your POR server and upload them to your website.
     

  • Notify the POR Web Design Team that you have completed Step #3.
     

 

About Guides & Forms
    

  • Your PDF documents will be linked to the Resources page on your website during the development phase.
     

  • Once the Resources page is set up on your site, you may then upload updated PDF documents at any time without the help of the POR Web Design Team. You may also add/delete/update sections and docs at your discretion by adding/deleting PDFs, .jpgs and folders.
     

  • Please be careful with your Gallery subfolders – if you accidentally delete them and “update website”, then your website’s document links will be broken!

 

About Coupons

  • Our newly-enhanced Coupon page will automatically display any images you have stored in your Coupon subfolder. There is no need to maintain a particular naming convention for your files in order for them to display on the site. Any file found in your Coupon subfolder will be displayed; therefore, ensure that your Coupon subfolder remains clear of outdated coupon images.
     

  • If you have multiple coupons you want to display simultaneously, create a PDF with all the images and place it in the Coupon subfolder.

  • The two PDFs in the Forms section upload from C:\POR\WEBCONTENT\site001\Gallery\WebDoc/Forms on their server.
     
  • The Rental Policies could upload as a PDF from C:\POR\WEBCONTENT\site001\Gallery\WebDoc/Policies on their server; however, they opted to link to a landing page instead.
     
  • The Coupon image uploads from C:\POR\WEBCONTENT\site001\Gallery\WebDoc/Coupon
     
  • The Employment section is currently blank, as their former 3rd party company shut down recently, and they are deciding how to proceed.

 

Maintaining Your Resources Gallery


You will eventually want to add, remove, or update items in your gallery.
 

  • Additionally, simply create your new PDF and copy it to the corresponding folder. After the next website update, it will appear in the gallery, under the folder's heading.
    • IF, however, you decide to create a new folder, you'll need to let the Web Team know so your code can be updated to include the new folder.
 
  • To remove, simply delete the PDF from the folder.
 
  • To update, we recommend that you update a document of the same name as the one that is currently in the folder, then simply replace it. After the next website update, the new version will show up in the gallery.
