Correct Previous Payment
This article explains how to correct a previous payment. You may need to make a correction if the payment amount is wrong and needs to be voided. Or, if the payment is correct but applied to the wrong invoice(s), the payment itself doesn’t need to be changed, but it must be reapplied to the correct invoice(s).
Note:
- It is recommended that you only back out cash or check payment methods. If credit cards are selected, it’s possible to refund an inactive credit card; use caution.
- Disbursement payment methods should be backed out the same way they were originally created. It is not recommended to use the correct previous payment for disbursements.
- You will NOT be able to correct a payment in Transaction Mode, as payments are managed through your accounting software.

Voiding a Payment
Here's how to get there:
- Expert: Program Menu > Accounts Receivable > Account Payments
- Elite: Accounting > Accounts Receivable Dashboard
Note: In Elite, after reaching the Accounts Receivable Dashboard, right-click on the desired customer to open the Customer Dashboard. Select Tools, then Make Account Payment.
- Once you’ve selected a customer, press Correct Previous Payment.
- Next, you will see a display listing all payments and contracts for this customer, with the most recent payment at the top.
- Click on the line displaying the payment you want to void.
Note: If multiple contracts were paid, more than one line of the same reference number may be present; it is only necessary to select one of the lines.
- A message box will appear asking you to verify if the payment you want to back out is the correct one. Select Yes.
- A payment receipt screen will appear. You can print, fax, or email the receipt. When you’ve made a selection, press OK.
- Select Yes to print the payment summary and return to the customer’s Customer Dashboard.
Correcting a Payment
- Return to the customer’s Customer Dashboard whose payment you just voided.
- Select Make a Payment. See Note above on how to get here.
- A payment window will appear. Enter your payment amount, select the payment type from the dropdown, and check the box to indicate whether this payment will be deposited into your drawer. When you’re finished, press OK.
- A confirmation window will appear. If the payment amount is correct, select Yes.
- Enter the payment description and press OK.
- When you’re done, press OK.
