Managing Documents for Integrated POR Websites
Overview: Users who have an Integrated Website have the ability to manage various documents directly on their POR server. Documents can be edited within the document gallery at any time without the need to directly edit your website; saving you time and money. Below is a list of common documents.
• Policies
• Credit App
• Printable Coupons
• Utility forms
• Tax forms
• Employment App
• Donation Form
• FAQ’s
•Tent guides
• Table spacing guides
• Linen charts
• Safety tips
1. Confirm/Create the folder structure
• In order to manage documents & images on your integrated POR website, you will be saving files directly on your POR Server in the following location:
C:\POR\WebContent\Site001\Gallery\WebDoc
2. Note About The Above Folder Path:
• If you do not see the subfolder Gallery, create it and the other subfolder WebDoc.
• Replace C:\ with whichever drive your POR system is installed under, e.g. D:\, etc.
• If you have more than one integrated website, replace Site001 with the correct site #, e.g. Site002.
3. Create & organize your images and/or documents
• If you are creating guides, policies, credit apps, or other forms, save them as PDF files.
• If you are creating coupons, create them as JPG images, no larger than 550px by 100px. It is most user-friendly if you create a border around your coupon.
• Do NOT use special characters in document or image filenames (i.e. no quotes, double-quotes, commas, #, $, &, etc.)
4. Copy your images & documents to your POR server
• Your documents should be organized into subfolders such as Guides, Coupon, Forms. To create appropriate subfolders in the WebDoc folder:
C:\POR\WebContent\Site001\Gallery\WebDoc\Forms or
C:\POR\WebContent\Site001\Gallery\WebDoc\Coupon
• Copy the image & document files that you created in Step #3 into the corresponding subfolder on your POR server under C:\POR\WebContent\Site001\Gallery\WebDoc.
• Your nightly website update (or the manual “Update Website” from the POR Configuration menu if you’d like to see your immediate changes) will then pick up the images/documents from your POR server and upload them to your website.
• Please be careful with your Gallery subfolders – if you accidentally delete them and “update website”, your website’s document gallery pages, if any, will be blank, and document links will be broken!
• Notify the POR Web Design Team when you have completed Step #4.
About Guides and Forms:
§ Your PDF documents will be linked to the site during development, prior to going live.
§ Once they are linked to the site, you may then upload updated PDF documents at any time without the help of the POR Web Design Team.
§ If you wish to delete a document from the site, add new ones, or change the name of one, please notify the POR Web Design Team.
About Coupons:
§ Our newly-enhanced Coupon page will automatically display any images you have stored in your Coupon subfolder. There is no need to maintain a particular naming convention for your files in order for them to display on the site. All files found in your Coupon subfolder will be displayed, so be sure to clear your Coupon subfolder of outdated coupon images.
