Power BI Views are predefined, read-only data views that allow you to analyze and report on your data using Power BI.

These views provide structured, business-friendly datasets that you can use to build Power BI reports and dashboards or export for further analysis. The views are standardized to help ensure consistent reporting.

                                                                        

What Are Power BI Views?

Power BI Views are curated datasets created and maintained by Point of Rental to simplify reporting.

Instead of working with raw database tables, you connect Power BI to these predefined views, which are optimized for reporting and use clear, plain-language field names.

Power BI Views:

  • Are read-only

  • Use business-friendly field names

  • Provide consistent data definitions

  • Are designed specifically for reporting and analysis

                                                                                                                   

Accessing Power BI Views

How you access Power BI Views depends on your environment.

                                                                                                                        

Cloud (AWS) Customers

If you are an AWS customer, you access Power BI Views using the AWS Export (Data Access) Tool.

This tool:

  • Is installed on your local machine (similar to Cloud Print)

  • Requires your individual SSO credentials

  • Downloads a local, read-only copy of your data

  • Allows you to connect Power BI (or other reporting tools) to that local data

You can:

  • Refresh the data manually whenever needed

  • Schedule the data to refresh once per day

The data is not live and does not impact system performance.

                                                                                                             

On-Prem Customers

If you are an on-prem customer, you connect Power BI directly to your database.

The Power BI Views already exist in your database and appear automatically when you connect Power BI to the server. Once connected, the views function the same way as they do for AWS customers.

                                                                                                                       

What Data Is Included?

By default, you have access to a standard set of Power BI Views designed to meet common reporting needs.

These views provide reporting-ready data without exposing the full database.

                                                                                                                                                                   

Requesting Changes or New Views

If you need changes to an existing Power BI View—or need a new one—you can submit a request.

  • If your request benefits many customers, the view may be updated for everyone.

  • If your request is specific to your organization, it may be handled as a custom view.

Requests follow the same process as customer reporting requests and are reviewed by the reporting team.

                                                                                                                                                                    

How Often Is My Data Updated?

Your data refresh frequency depends on how you access Power BI Views.

  • AWS (Cloud) customers

    • You can refresh data manually at any time

    • You can schedule a refresh once per day

    • Your data is a snapshot and is not live

  • On-Prem customers

    • Your data reflects the database state at the time you connect Power BI

Refreshing your data does not modify your system. All Power BI Views are read-only.
